What is an AI agent?

An AI agent is software that uses artificial intelligence to understand a goal, decide what to do next, and take action within the guardrails you set.

For your business, that could mean drafting proposals, coordinating client onboarding, supporting account opening, or helping your team find answers in your company’s documents and systems.

With the right controls and human oversight, AI agents can reduce errors and manual rework, giving your team more time for customers, decisions, and work that needs their expertise.

The anatomy of an AI agent

A useful agent brings five parts together. Each has a different job; the way they connect shapes what the agent can do for your business.

01 / AI model

The reasoning engine.

The AI model interprets requests, weighs the available context, and selects the next step. It can draft a response, ask a question, or call a connected tool.

In practice

An incoming inquiry becomes a plan: check the client’s history, find the relevant service, and prepare a reply.

How it connects

Works from the instructions and draws on memory, knowledge, and tool results.

02 / Instructions

The job, and how to do it.

Instructions define the agent’s purpose, priorities, tone, and boundaries. They explain what a good outcome looks like and when the agent should involve your team.

In practice

“Use our service descriptions. Ask about missing requirements. Get approval before sending a proposal.”

How it connects

Guides how the model uses every other part, from choosing a source to requesting approval.

03 / Memory

Continuity as the work unfolds.

Memory tracks the current task and, when configured, useful context across interactions. What is stored, for how long, and who can access it are deliberate choices.

In practice

The agent keeps track of what the client has already shared and which follow-up is still open.

How it connects

Carries relevant history forward so the model can pick up where the work left off.

04 / Knowledge

Your business, in context.

The knowledge base holds reference material: your services, policies, procedures, product details, and other business information. The agent retrieves relevant material when a task calls for it.

In practice

Before drafting a proposal, the agent finds the current service scope and approved pricing guidance.

How it connects

Supplies facts and source material to inform the model’s next step.

05 / Tools

The ability to take action.

Tools connect the agent to software it can use, from your CRM and calendar to email and project management. Permissions define which actions are available and which need approval.

In practice

After your review, the agent can send the reply, update the client record, and create a follow-up task.

How it connects

Turns a selected next step into an action and returns the result to the model.

The configuration depends on the job. Your team defines the goals, access, and approval points that connect these parts.

Where could an agent
make a difference?

Explore four possible starting points. Each example shows the work involved, the information it needs, and where a person stays in control.

Strengthen your sales funnel

Capitalize on every opportunity.

As soon as an inquiry arrives, your agent gathers the context, checks your service offering, and prepares a relevant response or proposal outline for review.

Make the first days
feel organized.

A new client says yes. An agent could prepare the welcome materials, check what is still missing, and coordinate the tasks that get the relationship off to a good start.

Make what your business knows
easier to find.

The answer may be in a document, a process guide, or someone’s notes. An agent could search approved sources, assemble an answer with references, and flag gaps for the right person.

Keep the important details
from getting lost.

Meeting decisions, project updates, and unfinished tasks create coordination work. An agent could assemble an operating update, prepare task changes, and highlight what needs attention.

These examples include review before action. Routine actions can also run within agreed limits when testing supports that design. Integrations, approval rules, and expected results are agreed around your business.

Let’s talk
01

A specific customer

Who needs help, and with what?

02

A useful first version

One experience that demonstrates the value.

03

Real customer feedback

Evidence to decide what to build next.

Built with Clear Boundaries

  • Appropriate access

Connect the information the job actually needs.

  • Visible approval points

Set which actions can proceed and which need a person.

  • Traceable work

Keep a useful record of actions, results, and exceptions.

  • A clear handover

Agree on ownership, running costs, and maintenance.

More about my background

Before you build.

You should understand the scope, the tradeoffs, and what happens after the first version is ready.

Is this suitable for a solo founder or a small team?

It can be. The fit depends on the job, how often it happens, the information available, and whether the likely value justifies the cost. A focused recurring task or a specific customer need is a useful starting point.

Can an agent work with the software I already use?

Often. Available integrations, account permissions, and the quality of your data determine what can be connected. Those are checked during scoping, before committing to a particular build.

How much does a custom AI agent cost?

Pricing depends on the workflow, integrations, data preparation, and testing involved. The engagement defines the deliverables, fee, and estimated running costs before work begins. Delivery timing is agreed as part of that scope.

Will it act without my approval?

You help define which actions require approval and which can run within agreed limits. A first version can prepare work for review. Additional autonomy can be considered after testing the task and its exceptions.

What happens to my business data?

The design identifies which information is needed, who can access it, where it is processed, and how it is retained. Model providers and hosting choices are evaluated against those requirements before the build is agreed.

Who owns and maintains the agent?

Ownership, source access, third-party services, documentation, and ongoing support are agreed explicitly in the engagement. The handover should make clear who operates the agent and who handles changes or problems.

Do I need an agent, or would simpler automation work?

A fixed automation may suit a predictable process. An agent can help when the work involves interpreting requests, gathering context, or choosing among next steps. The first conversation helps establish the appropriate approach.

What would you like
your business to handle better?

Bring a recurring frustration, a process you want to improve, or an idea for something new. I’ll help you work through a practical next step.
